Birk Crag Booking Terms & Conditions
1. Making a Booking
You must be
18+
to make a booking.
A
non‑returnable deposit
is required to secure your date.
Provisional bookings are held for
21 days
; if the deposit isn’t received, the date may be released.
The remaining balance is due
14 days before your visit
.
Residential events must follow Girlguiding requirements (REN, consent forms, health forms, home contacts, etc.).
2. Changes, Postponements & Cancellations
Cancellations must be made
in writing
.
If cancelled
4+ weeks
before your visit, only the deposit is retained.
If cancelled
within 4 weeks
, the
full balance
is payable.
In exceptional circumstances, the Birk Crag committee may use discretion.
If Birk Crag must cancel due to an error or circumstances beyond our control, you will receive a
full refund
.
3. Liability & Insurance
You are responsible for arranging your own insurance (cancellation, personal belongings, etc.).
Birk Crag does not accept responsibility for loss or damage to personal items.
Lost property is kept for
6 weeks
before disposal.
4. Data & Paperwork
Paperwork relating to your stay will be destroyed
6 weeks after your visit
, unless it must be kept longer due to an incident.
Your data will only be used for managing your booking.
5. Arrival & Site Use
Arrival and departure times will be confirmed before your visit.
Other users may be on site during your stay; you will be informed in advance.
Parking is limited; for large events, please encourage people attending your event to park on Dutchy Road where possible.
Please respect neighbours regarding noise and outdoor activities.
6. Cleaning & Damage
Groups are responsible for
cleaning before departure
.
A check sheet will be provided for overnight stays.
Additional cleaning or damage will be charged to the group.
7. Facilities & Equipment
The kitchen is fully equipped, but you must bring
tea towels, oven gloves, bin bags, and cleaning products
.
Fire pits may be used by prior arrangement.
Only fire‑safe pans/utensils may be used on the fire pits.
A projector is available for hire.
Toilet rolls, hand towels, and soap are provided.
8. Sleeping Arrangements (2026)
Bedrooms are unfinished; sleepovers will be on the ground floor/basement
Please bring
air mattresses or sleeping mats
.
There are currently
no shower facilities
.
9. House Rules
No chewing gum inside the building.
No dogs except assistance dogs.
Nothing may be stuck to walls or painted surfaces.
Blue tack may be used on doors/windows; pins on notice boards only.
Chairs must be stacked
no more than 5 high
.
Wi‑Fi is available; mobile reception is limited.
Birk Crag does
not
have a TV licence — you must not watch or stream live TV or BBC iPlayer.
10. Safety
You must read the risk assessment and fire risk assessment provided at booking.
You must complete your own risk assessments for activities you run on site.
